User Acceptance of Allocated Assets


User acceptance mail allows the asset owner to define the e-mail template for accepting or denying assets to avoid sending paper forms for accepting assets after allocation. The user to whom the assets are allocated can accept or deny the asset. There is a provision to enable auto acceptance of the asset in case the allocated user does not respond within a certain number of days which can be pre-configured.

 

Configuring User Acceptance Notification Mails

Enter the name and description for the user acceptance/denial notification e-mail

Mail Subject Macro

Select a macro which has to appear in the mail subject. The macro is replaced with the actual value when the mail is being sent.

Summary Fields

Select the fields from the Asset Fixed fields, Asset Custom Fields and Asset Lifecycle fields which should appear in the mail as a summary table.

Column Color and Font Color

Enter the color code for the column header and Font for the header of the Summary table. Note that this is to change the header color only and the summary table entries are in black on white background.

Enter the e-mail content to be sent when the asset owner accepts the asset ownership and enter the e-mail content to be sent when the asset owner denies the asset ownership

'Default' option allows the asset owner to accept or deny the asset ownership only once when a new asset is allocated to the user

'Audit' option allows the asset owner to review and accept or deny the ownership of all the allocated assets between the specific start and end dates

Select the item type, location and department notification filters for the user acceptance/denial mail

Select the roles or recipients of the user acceptance/denial mail

Reminder Rule

 

 

Check the levels of pre-notification and enter the 'Notify Before' value for the pre-notification. This allows pre-notification e-mail to be sent to the asset owner and the above selected roles to remind the asset owner about the asset ownership acceptance or denial

Enter any text here if it has to be displayed at the end of the user acceptance/denial e-mail

 

 

 

Note: Once the user acceptance mail template is created, the asset owner can accept or deny the asset ownership in CMDB > 'My Assets' page.
