Asset Reports

Note: Asset Reports are available only if ITSM module is installed.

Asset Reports are based on CMDB data. This topic describes how to add new Asset Summary and Asset Analytical Reports.

Asset Summary Reports

Asset Summary Reports display the list of assets in CMDB which can be filtered by criteria applied to the CI attributes as well as time elements.

On the SapphireIMS menu, point to 'Reports' and click 'Asset and Inventory Reports'.
Click the ‘Asset Summary Reports’ link. Click on the ‘Add’ button. A screen to display the report details is displayed. As an example, the report below displays Laptops and Desktops filtered by warranty start dates.

The fields are described below.

Serial No	Field Name	Description
1	Title	Enter the title of the report.
2	Description	Brief description of the report to be created.
3	Report Type	Select the type of the report. Select Asset Summary Report.
4	Select Fields	Choose the fields to be displayed in the report. Select the field and move them to the right hand box to display. Note: For user additional fields to be listed, go to Settings > User Management > Users and check the 'Visibility' column in the 'Additional User Info' tab.
5	Select Filter	Assets will be filtered based on the fields chosen here. In this example the report is filtered by Department and the 'Finance' department is selected. Click on 'Add' to add the filter.
6	Context Filter	Check this box if the report has to contain only the data based on the privileges of the logged-in user and if the logged-in user has access to the selected asset type, department, location or project. If this box is not checked, then the privileges are not checked.
7	Date Filter	You can filter the report based on time element specified by any custom date field. On selecting any date field, the values corresponding to the field are displayed on the right. Select two values for a range of dates between them.
8	Interval Time	You can further filter to select entries within an absolute time period. Note that the entries displayed will be within a time window which is within both Interval Time and Date Filter range.
9	Access To	The Access control permissions for the Report can be set here.
	Role	Select one or more Roles for which the permission has to be given.
	Users	Select one or more Users for whom the permission has to be given.
	Access Permissions	Check one or more boxes to give permission to 'View', 'Edit', 'Delete' reports or check on 'All' if all permissions are to be given. Click on 'Add Access' to add the permissions.

Enter all fields and click on 'Save'.
Run the report by clicking on it. The report is shown in the Report Viewer.

Asset Analytical Reports

This is an analytical report which gives the distribution of assets based on various parameters.

On the SapphireIMS menu, point to 'Reports' and click 'Asset and Inventory Reports'.
Click the ‘Asset Analytical Reports’ link. Click on the ‘Add’ button. A screen to display the report details is displayed. As an example, the report below displays the distribution of asset by type and location.

The fields are described below.

1	Title	Enter the title for the report.
2	Description	Brief description of the report to be created.
3	Report Type	Select the type of the report as 'Asset Analytical Report'.
4	Level One Filter	Select the first level parameter for which the distribution analysis needs to be done.
5	Level Two Filter	Select the second level parameter for which the distribution analysis needs to be done.
6	Advanced Filter	Filters the assets based on the values for the parameter selected.
7	Chart Type	Select the format in which the report needs to be displayed.
8	Chart Display Type	There are two kinds of display mode Single – This will list each parameter as an individual graph Multiple – This will break up each parameter/instance as a separate graph
8	Access To	The Access control permissions for the Report can be set here.
	Role	Select one or more Roles for which the permission has to be given.
	Users	Select one or more Users for whom the permission has to be given.
	Access Permissions	Check one or more boxes to give permission to 'View', 'Edit', 'Delete' reports or check on 'All' if all permissions are to be given.

Enter all fields and click on 'Save'.
Run the report and the following is displayed.

You can change the Report type and Chart Display Type.

Creating new reports from existing reports (Report Copy)

New Asset summary and analytical reports can be quickly created by using an existing report as a template and making modifications. The steps below describe how to create a new report from an existing Asset Summary Report.

Click on Reports > Asset and Inventory Reports > Asset Summary report. The Asset Summary Report listing screen is displayed.

Click on 'Copy' option for the specific report which you want to use as a template. The report editing screen is displayed.

Modify the title and make any changes to the report. Click on 'Save' and a new report is created.
