Mail Notification Rules


 

Mail Notification Rules are used to define the mail notifications to be sent upon a particular action happening on the asset, including state changes in the asset life cycle. The Mail Notification template should be configured prior to configuring the rules.

Rule Name

Enter the rule name.

Rule Description

Enter the description of the rule.

Action Type

Select the Action performed on the asset for which the Mail Notification has to be sent. The Action can be one of following:

  • New Asset : A new asset is added to the CMDB

  • Update Asset: The asset information is updated

  • Delete Asset: The asset is deleted

  • Status Change: The status of the asset is changed

  • Archived: The asset is archived

  • Asset Verification Status Change: The asset verification status changes

Asset Type

Select the Asset Module for which the Mail Notification has to be sent.

Status

If the Action is 'Status Change', select the status for which the Mail Notification has to be sent.  If the Action is 'Asset Verification Status Change', select the Status as 'Verified' or 'Mismatch'.

Enable User Acceptance

Check this box if user acceptance is required when the notification is sent. If this is checked, select either 'Link' or 'Button' which would cause either a link or a button to be inserted into the mail text. When the user receives the mail notification, upon clicking the link or button, the user is taken to MyAsset screen where the asset can be accepted or declined.

Email Notification Template

Select the Mail Notification Template to use for the rule.

 

 

Note.gifNote: The text and color of the button or text of the link can be customized by Global Settings. The global setting 'Asset Email Link Info Link Text My Asset'' contains the text for user acceptance. By default it is 'Accept/Deny'. The global setting 'Asset Email Link Info Button Color' is used to set the color of the button and can be a hex value prefixed by '#' or a color name. For updating the global settings, refer to Settings->Advanced System Settings->Global Settings.
