Repository Management


Repository means SapphireIMS central repository for all types of documents.

The user with administrator access rights can upload a document in the repository; users who are included in at least one project can download the uploaded document as and when required. Follow the steps below to add a document in the repository.

 

To upload documents into the repository, repository category and sub-category must be created. To do this, go to Self-Service Category and create the repository categories. See Self Service Category

The path for storing repository files can be changed to a different server or a network storage device. To do this set the path in the Global Settings 'ATTACHMENTSPATH',  As an example, a network path could be like '\\172.16.11.138\d$\Desktop\CustomRepository'

 

1. Click the ‘Settings’ tab. In the ‘Service Desk Configuration’ section click ‘Repository'

2. Click ‘ADD’ to display ‘Upload File’ window. Refer to the image displayed below

3. Click ‘DELETE’ to delete the selected document

4. ‘Audit Log’ tab displays the ‘Download Time’ and the list of users who downloaded the document

SapphireIMS roles will be visible here. Select all the specific roles

SapphireIMS users added via ‘User Management’ will be visible here.  Click ‘right_arrow.png ’ to add one or more user

Upload Component

Click ‘Browse’ to select the required document

Click to upload the selected document

Note: To specify maximum file size of attachment, change the Global Settings key value 'Max file size(MB) allowed as attachment'

 

 

5. Once a document is uploaded user can download the respective document by selecting ‘Repository’ from ‘Service Desk’ menu and clicking the required document.

Edit Document

Once a document is uploaded, it can be changed or re - uploaded.

    1. Click ‘Settings’ and from ‘Service Desk Configuration’ section click ‘Repository'.

         2.  Click on the component to be edited.

     3. Select the new component file or document file to be uploaded and click ‘Upload’.
