Email Notification Templates


 

The Service Desk Email Notification templates are used to customize the Email notification formats for different projects and different types of notifications. E-mail notifications are used for the following

  1. Inform recipients of any change in the record (Generic Notifications) including state changes, changes to fields in the records etc. Go to the section Generic Notification.

  2. Inform recipients about Knowledge Base Article Review, Update, Publish, Reject, Comment and Vote. Go to the section KB Notification.

  3. Inform recipients about KEDB Article Review, Update, Publish, Reject, Comment and Vote. Go to the section KEDB Notification.

 

Templates can make use of macros which represent database fields and the macro is substituted with the actual value at the time of e-mail generation.

There are a number of in-built templates in the product. Apart from editing the existing templates, new templates can also be created.

Notifications

Click on this button if the notification rule has to be defined at this point. Refer the topic Service Desk->Settings->Email and SMS Notifications->Email Notification Rules for details on defining Notification rules.

Notification Type Selector

Select 'Generic Notification' for Generic Notification templates. Knowledge Base and KEDB are special templates and described later in this topic.

Custom Fields

Macro

This section allows you to customize the subject and body content by using macros. Macros are placeholders which are substituted for actual values of the fields when the e-mail notification is generated. To help insert macros, you can use the Fixed Fields and Custom Fields (Additional Fields) drop down selector. Upon selecting any field, the corresponding macro appears in the Macro box. You can copy and paste the text in the Subject or Body fields.

Note.gifNote: You can create any number of macros from the drop down. For more details on the Macros in SapphireIMS, refer to the topic, Appendix->Macros supported in SapphireIMS.

An online help is provided to describe what the macro does.

 Email Subject

You can add the text for e-mail subject line interspersed with any macros. By default the Request ID, Action and Title are included.

Note.gifNote: The macros need to be in curly brackets and only then will they be replaced by the actual values.

Message Body

Check the box 'Include Message Summary' if you want the request details to be displayed in a tabular format in the mail notification. By default, a set of fields are presented in the summary. To change the fields and add additional fields and include Asset fields, you need to edit the template after creation. Refer to Editing Notification Templates.

 

Check the box 'Include State Updates' and select the option to either include the last state update or all state updates in the mail. This option allows the history of the record to be included in the e-mail.

 

Using the text editor, enter the text and include any macros which you want to use. The editor supports HTML format and you can use an external HTML editor to create the format and copy and paste the HTML code.

In the message body, you can type in macros directly. To aid this, as you type in the macro, a selection list is displayed with auto suggestion. You can select the required macro from the list.

The notification template created can be modified. Apart from editing any of the information, you can also edit the summary table information.
